Report Exporting
List Students
- Select a list of selected students. On the start page, search for and select a group of students. A list of students appears in the Current Student Selection section. For more information, see Select a Group of Students.
- Click the [Select Function] arrow. The Group Functions popup menu appears. Under Export, choose List Students. The List Students page appears.
Note: Alternatively, if you have a current selection of students, you can choose Special - Functions under Functions in the main menu and then click Groups Functions.
Report Title: Enter a title for the report.
Col.: Numerical representation of the number of items that will appear on the list.
Field Name: Enter the name of the field.To insert a PowerSchool field into this field: - Click Fields to view a list of PowerSchool fields. The Fields popup appears.
- To narrow the list of fields, enter one of more search terms in the Filter field. Otherwise, leave blank.
- Click the field you want to add. The Fields popup closes and the selected field appears.
- Column Title: Enter the column title. This may or may not be the same as the field name. For example, to display birthdays on the printed list, title the column as Birthday even though the field name is DOB.
- Select the Export Option to export it as text file that you can take to excel.
- List Students offers you max 10 fields to take, which you can take by selecting the fields from the field tab and giving it a column name. Can export in Excel
Quick Export
- Login to the PowerSchool /admin portal
- From the Start Page, select the desired students
- Select Quick Export from Functions, or Navigate to Start Page > Special Functions > Importing & Exporting > Quick Export
- Enter the fields you’d like to export, and how you’d like the records to be delimited. See an example below. More fields can be selected by clicking on the “Fields” tab below.
- Click Submit. It will save a text file which you can open in Excel.
DDE: Direct Database Export
Overview
- List View: Provides an organized list of the current records in selection
- Table View: Provides an organized table of the current records in selection
- Table View Setup: Preferences for the view in table view
Exporting Records
- From your start page click System under Setup
- Click Direct Database Export (DDE) under Data Management
- Select the table for which you would like to search for records
- Use the Search boxes to filter your records. Eg:
Note: School IDs 100 (ES); 200 (MS); 300 (HS) – Term ID 2600( Full year); 2601 (Semester1); 2602 (Semester 2)Tables (used majorly): Students - for all student demographic information/ entry/exit. Attendance - Student attendance data. - Use either the table or list view to verify that your selection of records is correct
- Click the link to Export Records
- Use the drop down to select fields from the table you are currently in
- In the box use the [Table name or Number] Field Name method to pull fields (this is when you are cross-referencing tables to pull fields)
- Fill out all other desired options for export on the Export Records page such as Field and Record Delimiter
- Click Submit to begin the export
